We are looking for a confident, friendly and proactive person to provide a general administration and reception service for our Woking office. 

The Ambassador Theatre Group is an international live theatre organisation. Our main business focus includes operating entertainment venues, producing theatre and delivering a world class ticket buying experience through our various ticketing brands. Our Woking office is home to our shared IT, UK Finance and UK HR teams as well as regular meetings for our senior leadership team.

Although an interest in theatre is desirable, experience in the theatre or entertainment industry is not necessary! We're looking for someone who cares about offering an effective administration service that ensures our business runs smoothly. You'll be organised and efficient with the ability to learn IT skills and new software quickly and to manage a varied 'to-do list'. You'll also need to be confident when communicating with colleagues, visitors and contractors; this role is the main point of contact for the office for everyone! This role is the only general administration role in the office and so you will need to be comfortable working relatively independently; you'll enjoy taking on tasks and getting them done.

Our ideal candidate would aspire to progress to team assistant or executive assistant roles in the future, which are usually based in our London office. From time to time this role may include providing cover for other assistants (for example to cover holidays) or providing additional support from Woking during exceptionally busy times.

Our recently refurbished office is based just a short walk from Woking's mainline train station and the Peacocks shopping centre, where we also manage the theatre and cinema complex.

The Office Administrator is primarily responsible for:

  • Providing a reception and switchboard service for the office, providing excellent customer service and a warm welcome at all times.
  • Implementing security and health and safety measures to ensure appropriate personnel enter the building, visitors can be identified and our risk management procedures are followed.
  • Managing office resources, deliveries and ordering including organising the meeting rooms and some invoice reconciliation.
  • Making travel bookings on behalf of a wide range of staff from across the UK including ensuring payments are allocated to the correct budget code.
  • Providing ad hoc administration support to teams as required, which may include research, printing, filing or other general administration tasks.
