We are seeking a meticulous administrator to cover a period of maternity leave.

MAIN PURPOSE:

To assist the CFO & Commercial Director, and her Direct Reports, in all administrative activities and to undertake research, analysis and projects as required.

 

KEY RESPONSIBILITIES:

  • To provide full secretarial and administrative services i.e. word processing, organising diaries, travel itineraries, to deal with and act upon written correspondence and telephone messages, confidential filing etc. for the CFO & Commercial Director.
  • To provide back-up secretarial and administrative services to other Executive Directors and Senior Managers as and when required.
  • To ensure visitors to meet the CFO & Commercial Director are welcomed appropriately.
  • To ensure meeting rooms are set up in advance with all necessary documentation, equipment and refreshments.
  • To carry out research projects and report on findings as required.
  • To prepare presentations and information packs in conjunction with members of the Finance and BI teams.
  • To deal with all correspondence for the CFO & Commercial Director and manage her email in-box ensuring that all emails receive a response.
  • To maintain the relevant files for the CFO & Commercial Director including itineraries for all travel arrangements, relevant post, daily figures, to do lists and appointments for the day.
  • To provide administrative support to the Finance team as and when required.
  • To update ATG's daily cash flow forecast.
  • To adhere to all Health & Safety procedures to minimise the risk of injury and accidents.
  • To attend training courses as required in order to further self-development.
  • To work the agreed hours, ensuring cover for core office hours, although there may be a requirement to work additional time in order to meet deadlines or until tasks are carried out.

 

Person Specification

The post holder should have the following skills, attributes and experience:

  • Professional Experience (One or more of the following) Experience in a PA role, working for an Executive Director in a similar environment
  • Experience in a role requiring analytical research and presentation
  • Experience in an administrative role within a theatre or entertainment business

  • Basic financial understanding.

  • Resilience and an ability to work on own initiative and effectively as part of a team.
  • Excellent communication skills, with the ability to deal effectively with people at all levels inside and outside the business.
  • Flexible, adaptable, robust and resilient, willing to go above and beyond.
  • Excellent customer service and the ability to deliver to a high standard of competence.
  • The ability to work well under pressure and a proven ability to manage and meet conflicting deadlines.

This role will be offered for a fixed term to cover a period of maternity leave, starting in summer 2017 (exact date to be confirmed).
